But when I shifted into small business HR, it was a whole different story. Suddenly, I didn’t know how to get the information I needed to make decisions. I’d basically forgotten most of my Excel skills (and honestly, I never loved spreadsheets to begin with). Still, I had to train myself to build the trackers and formulas that would get the job done.


At some point, though, I wanted to pull my hair out. That’s when I started talking with leaders about budgets and prioritizing what we really needed. By the time a new system was approved, I had to admit; I’d learned to appreciate the satisfaction of building the “perfect” spreadsheet with formulas feeding into multiple tabs. But you know what feels even better? Having a system that does it all for you.


These days, I still use a handful of spreadsheets as quick helpers, but the real game-changer, both for me and for our clients, has been finding the right HR systems.


Spreadsheets are where most small employers start. They’re simple, familiar, and free. But as your team grows, it can create more headaches than help. If you’re frustrated by endless tabs, version control issues, or error-prone formulas, it might be time to upgrade.


1. You’re Drowning in Versions

If you’ve ever caught yourself asking, “Wait, am I in the right file?” you’re not alone. Having multiple versions of the same spreadsheet floating around (on desktops, shared drives, and email threads) is one of the first red flags. Not only does it waste time, but it also increases the risk of mistakes.



2. Updates Take Forever

Adding new hires, updating addresses, or calculating PTO shouldn’t take hours. If every small change requires scrolling through rows of data and double-checking formulas, your spreadsheet is slowing you down instead of saving you time.



3. You’re Worried About Errors

Spreadsheets are notorious for hidden errors. One wrong formula or a missed row can throw off payroll, benefits, or compliance tracking. If you’re losing sleep over whether your numbers are right, that’s a sign your tool isn’t keeping up.

4. Employees Keep Asking Questions

When employees can’t access their own information (like PTO balances or pay history), they come to you for answers. That means you’re stuck being the “HR help desk” instead of focusing on bigger priorities.


5. Compliance Feels Risky

From I-9 forms to state-specific leave laws, HR compliance is tough to manage in a simple spreadsheet. If you’re spending more time Googling requirements and manually updating rows, you’re putting your company at risk for errors or missed deadlines.

Spreadsheets will probably always have a place in HR. Whether it’s a quick tracker, a one-off report, or a simple tool for something unique to your team. But they weren’t built to grow with your business. If you’re starting to see the cracks, errors, inefficiencies, and compliance risks, it may be time to explore an HR system designed for small employers. The right system won’t replace every sheet you use, but it will take the heavy lifting off your plate so you can spend less time in formulas and more time with your people.
